One Phishing Email Could Put Your Entire CPA Firm at Risk

One Phishing Email Could Put Your Entire CPA Firm at Risk

Why Annual Cybersecurity Training Isn't Enough Anymore

For years, businesses have relied on annual cybersecurity training to educate employees about online threats. Once a year, everyone sits through a presentation, watches a few videos, or completes an online course. They check the box, and they're done until next year.

But with cyber threats changing almost daily, is once a year really enough?

The short answer is no.

Cybercriminals are getting smarter, and the methods they're using are becoming harder to recognize. For CPA firms that handle sensitive financial and personal information every day, keeping employees informed is more important than ever.

Cyber Threats Have Changed

Not too long ago, phishing emails were fairly easy to spot. They often contained spelling mistakes, strange email addresses, or suspicious links.

That's not necessarily the case anymore.

With artificial intelligence (AI), cybercriminals can create professional-looking emails that appear to come from a trusted client, coworker, or even the firm's managing partner. Some messages are so convincing that even experienced employees can have trouble telling what's legitimate.

An employee who completed cybersecurity training in January could be facing entirely new types of scams by June.

That's a long time to go without a refresher.

Employees Forget What They Don't Practice

Think about any training you've attended. How much of it do you remember six months later?

Cybersecurity training is no different.

Employees are busy managing deadlines, responding to clients, and keeping up with their daily responsibilities. Recognizing phishing attempts and other security threats isn't always top of mind.

Regular reminders help keep cybersecurity awareness fresh. Even something as simple as a short monthly email highlighting a new scam or a quick discussion during a staff meeting can make a difference.

The goal isn't to overwhelm employees with more training. It's to make cybersecurity awareness part of their everyday routine.

Why This Matters for CPA Firms

CPA firms are particularly attractive targets for cybercriminals because of the amount of confidential information they handle.

Tax returns, Social Security numbers, financial statements, banking information, and client records are all valuable to attackers.

And during busy season, when employees are working long hours and juggling multiple deadlines, it's easy to see how a convincing phishing email could slip through.

Imagine an employee receiving an urgent email that appears to come from a client requesting a change to banking information. Or a message that looks like it's from a partner asking someone to open a document immediately.

These are the kinds of situations employees need to be prepared for, not just once a year, but throughout the year.

A Better Approach: Smaller, More Frequent Training

The good news is that improving cybersecurity awareness doesn't have to mean hours of additional training.

In fact, shorter, more frequent reminders can be a much more practical approach.

Here are a few ways firms can keep cybersecurity top of mind:

  • Monthly cybersecurity tips: Share a quick reminder about phishing, password security, or a new scam employees should watch for.
  • Quarterly phishing simulations: Give employees an opportunity to practice recognizing suspicious emails in a safe environment.
  • Real-world examples: Discuss actual scams targeting accounting firms so employees understand what to look for.
  • New employee training: Make cybersecurity awareness part of the onboarding process rather than waiting for the next annual training session.
  • Open communication: Encourage employees to report suspicious emails or potential mistakes immediately without fear of embarrassment.

The idea is to build good habits over time instead of expecting employees to remember everything from one annual session.

Cybersecurity Is Everyone's Responsibility

Technology plays a major role in protecting a firm's systems and data, but employees are also an important part of that protection.

Even with strong security tools in place, one convincing email or fraudulent request can create a serious problem.

That's why cybersecurity training shouldn't be viewed as simply another compliance requirement.

It should be an ongoing effort to help employees recognize threats, ask questions, and make better decisions when something doesn't seem right.

The Bottom Line

Annual cybersecurity training is still important, and firms may need it to meet certain compliance requirements. But it shouldn't be the only time employees think about cybersecurity.

Cybercriminals aren't waiting until next year's training session to try something new.

Your employees shouldn't have to wait that long to learn how to protect themselves and your clients.

At Tech Advisors, we understand the unique technology and cybersecurity challenges CPA firms face. Helping firms stay protected means looking beyond technology alone and recognizing the importance of employee awareness.

Because protecting your firm's data starts with making sure everyone knows what to watch for.
